A hotel system counts nights and single rooms. A centre taking camps sells a stay: fourteen days, a hundred people, one contract with the organiser and one invoice at the end.
A hotel takes payment up front or on departure. A camp organiser pays a deposit six months earlier, then two instalments, and the final number of participants changes a week before arrival.
A hotel does not count tomorrow's portions by diet, because it does not run a canteen for the whole property. A centre does — and that is usually the main reason the spreadsheet stays.
What bedcal does differently
You enter the dates, the number of people and the organiser. Rooms, meals and settlements all follow from that single entry.
Instalments with due dates, arrears calculated live, and a warning in the day plan when a group arrives still owing money.
Portions for each day broken down by diet, serving times, a campfire instead of dinner, packed lunches for a trip.
Front desk, kitchen, housekeeping and maintenance — each sees their own. Amounts are known to the owner alone.
Questions
Does bedcal suit a property that also takes individual guests?
Yes. Group stays and individual guests share the same chart, on one timeline. There is no need to run two systems or split the property in two.
Will it handle a property with 500 beds?
Yes. The largest plan has no upper bed limit, and zones let you divide a large property into buildings and floors.
Is there synchronisation with booking portals?
There is not, and we are not planning it for now. Bedcal is for properties that sell directly — by phone, by email and by contract with an organiser. If most of your bookings come from portals, you need a different system, and we say so up front.
How long does setup take?
An afternoon. You configure the property in the wizard, create rooms by range and import the season from your spreadsheet in one file. There is no setup fee and no training.
