How bedcal does it
Rooms are grouped into zones: main building, cottages, first floor. You point a group at a zone rather than at a dozen room numbers.
The system proposes a layout from the number of people and room capacities. You correct what does not fit — the rest stays.

Questions
Can I separate boys and girls?
Yes. Rooms are marked with zones and you tell the group which zones it may use. The split then follows the layout of the property rather than the memory of whoever is drawing up the plan.
What if the number of participants changes a week before arrival?
You change the number of people on the booking and the allocation is recalculated for everything that was not set by hand. Rooms pinned manually stay untouched.
Can I see how many beds are free in a zone?
Yes, live. Occupancy follows from the chart, so there is no separate table that could show something other than reality.
Will the group leader get a list of their rooms?
Yes. You print the accommodation plan for the whole group or share it as a page with a link — without them creating an account.
