Bookings
A chart for the whole season
Group stays and individual guests on one axis. Each bar runs from noon to noon, so a departure and an arrival on the same day are visible at a glance.
From apartments to hotels and group properties
Room calendar, meals and instalment payments. And much more — no Excel, no extra app.
Life in a spreadsheet
Enter a group stay once. Rooms, meals and payments work themselves out.
One on your laptop, one at the desk, one printed. The current one is always the fourth.
Tomorrow's numbers get scribbled on paper and nobody checks them again.
You learn it never arrived on the day the group pulls in.
You spot it when the coach is already at the gate.
Features
No channel manager, no invoicing, no modules nobody ever switches on.
Bookings
Group stays and individual guests on one axis. Each bar runs from noon to noon, so a departure and an arrival on the same day are visible at a glance.
Kitchen
Serving times are set once a day for every group. A bonfire replaces dinner, packed lunches count with breakfast.
Money
Deposits split into instalments with due dates. Who owes what is worked out on the fly, with no month to close.
Front desk
Who arrives, who leaves, who still hasn't paid. Today's list ready to print.
Arrivals · 14 Jul
Also included: spreadsheet import and export · setup wizard · roles for the desk, kitchen and housekeeping · occupancy and revenue statistics · public meal plan for guests · no user limit
How it works
No rollout, no training, nothing to install on your computer.
The wizard walks you through it. Rooms are created by range, not one at a time.
Load the spreadsheet you already keep. You match the columns in a preview, and anything unclear is set aside with a warning.
Front desk, kitchen and accounts all read the same chart.
Who it's for

The clock starts when you begin using it, not when you sign up. No card.
After the trial the account turns read-only. We delete nothing.
The market charges 2,000–6,000 PLN to get started. You configure the property yourself, in the wizard.
Questions
Answers to what people ask most — including the things we don't do.
No. There is no channel manager and none is planned for now. Bedcal is for properties that sell directly — by phone, by email and by contract with the organiser. If most of your bookings come from portals, you need a different system, and we say so upfront.
Yes. You upload an XLSX or CSV file and bedcal recognises the columns itself — group name, dates, number of people. You confirm the mapping in a preview before anything is saved. Rows that can't be read unambiguously are set aside with the problem described and the original row number, so it is never all-or-nothing.
Yes. Bedcal runs in the browser and is built for small screens — nothing to install on your computer or from any app store.
No limit, in every plan. Each person gets their own login and a role: front desk, kitchen, housekeeping or maintenance. The role decides what they see — the cook never sees amounts, and the desk doesn't have to walk through the meal schedule.
No. One account is one property — its rooms, zones, meals and settlements are its own. With two properties you open two accounts, and each pays according to its own size, so the smaller one doesn't subsidise the larger.
The account turns read-only. You still see every booking and can export them, but you can't add new ones. We delete nothing and nothing is charged automatically — you never enter a card when signing up.
From the first booking you save, not from signing up. You can set the property up, add rooms and zones and look around — the clock starts only once you begin working for real.
On servers inside the European Union — the Hetzner data centre in Falkenstein, Germany. A backup is taken every night and a second copy is kept on a separate machine. Each property's data is isolated from every other. Settings include CSV and JSON export — at any time, without asking us for anything.
By card or instant transfer. We issue a VAT invoice for every billing period. Bedcal does not issue invoices to your guests — it keeps a record of payments: who paid what, when, and how much is left.
Set the property up in the wizard, load the data from your own spreadsheet and see the whole chart in one view.
