The room chart usually lives in a spreadsheet with a tab per month. One copy sits with the owner, one at the front desk, one printed by the keys — and none of them is the current one.
Groups add a second problem: a stay takes a dozen rooms at once, and they are entered by hand, one after another. When the dates move, all of them have to be moved.
A clash only shows up when someone is standing at the desk. Two groups in one room is not a rare accident — it is what happens when a spreadsheet has no idea what "occupied" means.
How bedcal does it
One view of the whole season. A booking bar runs from noon to noon, so a departure and an arrival on the same day do not look like a clash — because they are not one.
You give the dates and the number of people. Rooms are assigned by range or left to the system. When dates change, the whole stay moves, not a dozen separate entries.
Free beds follow from what is on the chart. There is no separate table of numbers that could drift away from reality.
Front desk, kitchen and owner read the same chart. There is no third copy, because there is nothing to copy.
Questions
Can I bring the chart over from my spreadsheet?
Yes. You upload an XLSX or CSV file and bedcal recognises the columns: group name, dates, number of people. Rows that cannot be read unambiguously are set aside with the row number and a description of the problem — there is no all-or-nothing import.
Can I assign rooms by hand?
Yes. You can pick specific rooms for a group or leave the allocation to the system and correct whatever does not fit. A manual assignment takes precedence and is never overwritten.
What about rooms taken out of use?
You block a room for a chosen period with a note — renovation, fault, reserve. It disappears from available beds and will not be used in any allocation.
How many people can work on the chart?
No limit, in every plan. Each person has their own credentials and a role — the front desk sees the chart and check-in, the kitchen only portion counts.
